PRIVACY NOTICE FOR CUSTOMER SATISFACTION SURVEY
INTRODUCTION
The Statistical Institute of Jamaica ("STATIN") is conducting a customer satisfaction survey to improve its products and services and will collect and process the personal data of its stakeholders who choose to participate. By virtue of this processing, STATIN is considered a Data Controller under the Data Protection Act, 2020 of Jamaica ('the DPA').
This Privacy Notice explains how STATIN, as the data controller, complies with the DPA while undertaking this activity.
HOW WE WILL COLLECT RESPONDENT'S PERSONAL DATA AND ADMINISTER THE SURVEY
STATIN has engaged the Consumer Affairs Commission ('the CAC') to administer the Survey on its behalf and analyse the results. The Consultant acts as STATIN's Data Processor and may only process information in accordance with STATIN's written instructions.
The CAC will utilise two data collection methods, namely, electronically via Google Forms or telephone-administered interviews where permitted. This is to ensure broad representation across STATIN's customer base. Participants will be selected from stakeholder groups such as government ministries, departments and agencies, academia, researchers, civil society organizations, international development partners, and other users of STATIN's services.
WHAT PERSONAL DATA WE MAY PROCESS
Personal data means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data). STATIN may collect the following categories of personal data described below when it administers the survey:
| Category |
Personal Data |
| Identity Data |
Age Group, Gender |
| Contact Data |
Resident Parish |
| Employment Data |
Professional Affiliation |
STATIN will collect only the personal data that is necessary and relevant to the survey. Where applicable, respondents may decline to provide certain personal information by selecting the "Prefer not to say" option. STATIN does not collect or process sensitive personal data in connection with this survey.
Additional Information & Notice Details
Respondents will NOT be asked to provide their names or contact information during the survey. However, STATIN may already hold the names and contact details (such as telephone numbers or email addresses) of some participants through its existing stakeholder/distribution lists and will use this information to identify and contact potential respondents. This information is kept separate from survey responses.
The purposes for processing
Any personal data collected in connection with the survey will be used solely for the purposes of administering the survey and analysing customer satisfaction and experiences to improve STATIN's service delivery and engagement strategies. Survey results will be reported in a manner that does not identify individual participants.
The legal basis for processing
As Jamaica's national statistical office, STATIN has a statutory mandate under the Statistics Act to collect, compile, analyse, and disseminate statistical information. In furtherance of this mandate, STATIN has a legitimate interest in measuring customer and stakeholder satisfaction to improve the delivery of its statistical products and services. To facilitate participation in the survey, STATIN also has a legitimate interest in using contact information already held in its stakeholder databases and client records to invite individuals to take part.
STATIN has engaged the CAC to administer the Customer Satisfaction Survey on its behalf. To facilitate this data processing arrangement, STATIN has shared personal data (particularly contact data) from its stakeholder/distribution lists so that CAC may invite selected stakeholders to participate. To administer the Customer Satisfaction Survey, CAC will use Google Forms, accessed through a standard Google account maintained by the Commission's Research Unit, to collect and store survey responses. Google will process information in connection with the provision of this service, subject to its applicable terms and privacy policies. The use of Google Forms may involve the processing or storage of survey information outside Jamaica.
STATIN has implemented the appropriate technical and organisational measures to protect personal data collected through the survey from unauthorised access, alteration or destruction.
Aggregation and reporting of survey data
To protect respondents' confidentiality, survey findings will be reported in aggregated form, meaning that responses will be combined and analysed at a group level rather than being attributed to individual participants.
STATIN will retain personal data only for as long as necessary to administer the survey, analyse the results. Thereafter, the personal data will be securely deleted or anonymised.
The Consumer Affairs Commission (CAC) will only retain personal data for the duration of the data processing agreement and will securely delete the customer contact frame, raw survey responses, working datasets and final anonymised results in its possession immediately after the conclusion of the agreement, in accordance with the retention and disposal requirements specified by STATIN.
You have rights available to you under the DPA, such as to ask STATIN as the Data Controller to provide you with access to the data we hold about you, to correct any incorrect information we hold about you and to object to us processing your personal data (such as removal from stakeholder lists). In some circumstances you have the right to ask us to erase or stop processing your personal data or pass information we hold about you to another Data Controller.
